Family Service Agreement

The practical agreement for study coaching and mentoring, including participation, communication, payments, cancellation, privacy and safety boundaries.

1. The parties

This agreement is between Gulia Pty Ltd trading as the study circle, and the parent or legal guardian completing enrolment for a student under 18. The parent or guardian confirms they have authority to provide the required information and consent.

2. Educational service

The Study Circle provides personal study coaching and mentoring. It supports study habits, planning, responsibility, confidence, reflection and pathway exploration. It is not counselling, clinical care, a crisis service, a school or an admissions service. Marks, ranks, ATARs, admissions and other outcomes are not guaranteed.

3. Program delivery

Each enrolled student is allocated a dedicated mentor. Both current mentoring plans include one introductory one-to-one session. Study Support includes one 30 minute mentor session per semester. Performance Mentoring includes one 20 minute mentor session each fortnight. Other mentor guidance may be provided through approved email or parent-included messaging channels according to the selected plan.

4. Parent and student participation

The parent or guardian will provide accurate contact, consent and safety information, keep payment details current and raise material concerns promptly. The student is expected to communicate respectfully and participate honestly. Parent consent and age-appropriate student assent are required before direct mentor and student contact begins.

5. Communication and privacy

Communication must use approved channels. A parent or guardian may be included in messaging groups and may change direct-contact permission in writing. Student reflection is treated respectfully and is not used for unnecessary surveillance. Parent progress information is reviewed by the student’s mentor before it is sent, with safety, legal and service-quality exceptions handled under the Privacy Policy and Child Safety procedures.

6. Fees and GST

Advertised consumer prices include GST where applicable. Study Support is A$25 per week or A$225 for one ten-week term paid upfront. Performance Mentoring is A$45 per week or A$405 for one ten-week term paid upfront. Any valid coupon is applied at checkout before payment.

7. Term timing and holidays

Programs are planned around the relevant Australian state or territory school-term timing. Weekly mentoring charges pause during the applicable school holidays. Holiday programs, workshops and resources may be offered separately and require a separate enrolment unless expressly included.

8. Cancellation, pauses and access

A weekly membership or prepaid term place may be cancelled with 14 days' written notice from the parent or billing contact. Eight weeks is recommended to establish a useful mentoring rhythm but is not a minimum lock-in. A medical pause may be requested in writing. Portal access normally remains available for one week after the paid service period ends.

9. Failed payments

A failed weekly payment has a seven-day grace period. The parent receives an update request and the matter is reviewed before access is paused or removed. Students are not asked to resolve family billing matters.

10. Safety and conduct

The service has educational boundaries and is not an emergency service. Immediate danger requires 000 and a trusted adult. Safety concerns, complaints and misconduct flags are escalated to the Child Safety Lead or alternate contact for review. The Study Circle may adjust, pause or end participation when required for safety, serious misconduct, non-payment or a persistent mismatch with the service.

11. Mentor screening and fit

Mentors are interviewed and Working With Children Check details are manually verified before allocation. The family receives relevant mentor information when a mentor is allocated. A parent may raise a mentor-fit concern for review, and The Study Circle will consider a reasonable change where available.

12. Complaints and contact

Questions, cancellations and complaints may be sent to nitesh@thestudycircle.com.au. Nitesh Gulia is the Child Safety Lead. Anshu Malik is the alternate complaints and safety contact. Urgent safety matters should clearly state that they require priority review.

13. Changes

Material changes to fees or service terms are communicated before they apply to a future paid period. Changes required by law, safety practice or a service provider may take effect sooner where reasonably necessary.

14. Australian Consumer Law

Services come with consumer guarantees that cannot be excluded under Australian Consumer Law. For a major service failure, a consumer may cancel the service contract and seek a refund for the unused portion or compensation for reduced value. For another failure, the consumer may require the problem to be rectified within a reasonable time and may have further rights if that does not occur.
